1. Who We Are
Teriaq AI is an AI-assisted medical documentation service for healthcare practitioners. When you use the App, you interact with your professional data and patient-related information that you choose to enter as the user.
2. Data We Collect
We may collect the following types of data:
• Account data: name, email, phone number, specialty, and profile information.
• Usage data: session logs, linked devices, subscription activity, and usage balance.
• Content you provide: audio recordings, text, templates, and medical notes created in the App.
• Technical data: device type, operating system, and identifiers needed to operate and secure the Service.
We collect account and profile data when you register or update your profile. We collect audio recordings and related note settings when you record or upload audio in the App. We collect usage and technical data automatically when you use the Service.
3. How We Use Your Data
We use your data to:
• Provide AI transcription and medical documentation features.
• Manage your account, subscriptions, credits, and allowed devices.
• Improve service quality, security, and user support.
• Comply with legal obligations where required.
4. Health Data and Professional Confidentiality
You are responsible for entering health-related information in compliance with your professional duties and applicable law. We treat medical content you submit with a high level of confidentiality and do not use it for third-party marketing.
5. AI Processing and Third-Party AI Services
To provide transcription and structured clinical notes, we send certain data to third-party AI service providers through our secure backend. This includes:
• Audio recordings you submit for transcription.
• Note type, selected template settings, and related text needed to generate the clinical note.
• Language and formatting instructions associated with your chosen template.
These data are shared with the following third-party AI providers, solely to deliver the transcription and documentation features you request:
• Groq — speech-to-text processing (audio transcription).
• OpenAI — text structuring and clinical note generation.
We select providers that apply appropriate security and data-protection standards. We do not sell your personal data, and we do not allow these providers to use your medical content for their own marketing or unrelated model training unless required by their published policies and applicable law.
6. Your Consent Before Sharing with AI Providers
Before your first recording or transcription, the App shows an in-app consent screen that explains what data will be sent and which third-party AI providers will receive it. AI processing does not begin until you tap “I Agree.” You may decline, but transcription and note-generation features will not be available without your consent.
7. Storage and Retention
Your data is stored on secure cloud infrastructure. We retain data for as long as your account is active or as required for operations and compliance. You may request account deletion or removal of certain data through Support or in-app account deletion, subject to legal and regulatory requirements.
8. Data Sharing
We do not sell your data to third parties. We may share limited data only when:
• Necessary infrastructure or service providers are required to run the App (including Groq and OpenAI for AI transcription and note generation, as described above).
• Required by law or a valid official request.
• Needed to protect our rights, user security, or prevent misuse.
9. Security
We apply reasonable technical and organizational measures to protect your data, including access controls, device limits, and encrypted channels where possible. However, no internet-based system can be guaranteed to be completely secure.
10. Your Rights
Depending on applicable law, you may have the right to:

• Request deletion of certain data or account closure.
• Object to or restrict certain processing.

The Service is intended for healthcare professionals and is not directed at children. We do not knowingly collect data from individuals below the applicable legal age.
14. International Processing
Your data may be processed or stored using servers or providers outside your country of residence, including in countries where OpenAI, or our cloud infrastructure operate, with appropriate safeguards applied where possible.
15. Policy Updates
We may update this Policy from time to time. The updated version will be published in the App, and continued use after the update takes effect constitutes acceptance.
